Besides the "Studies/Gradebook" interface, all the official notes concerning the student’s selected training can be found on this separate menu.

Term-selection option is available on this interface as well. If you choose the all term option, then notes which are not assigned to any term are also displayed by the program.

By clicking on the subject of the official note, you can view the details of the official note in pop-up window and the type and date of the note also appear.

Similarly to the Gradebook interface uploaded documents of the official note also appear here which can be downloaded from the "Uploaded documents" column.

By clicking on the "Options" icon at the end of the line, the details of the official note can be viewed and printedon template as well.

4.16 6th year outer practice

In case of some trainings, sixth year students need to fulfill practice subjects at outer field practice locations (for example the clinical practical subjects in case of medical students).

ATTENTION! This menu may differ from institution to institution, depending on whether the institution use this function or not!

On this interface during the period defined for the training by the institution you can add outer practical subjects and you can register for outer field practice location(s) related to them.

At this/these practice location(s) you may spend a certain period of time (either continuously or in parts), which must be verified with a certificate, and as a consequence you have to do extra exams.

The practical subject will be fulfilled if the subject related necessary outer practice period is validly spent as well as if the associated exam is successfully passed.

By clicking on the menu, an interface with a list appears in which periods and associated outer practical subjects are displayed in hierarchical lines defined by the institution.

Current as well as subjects of future periods are also displayed. You can filter those subjects on this page for which there is currently a registration period with the "Subjects with actual registration period" check box.

If you tick the "Registered subjects" check box, only subjects you have already registered will be displayed.

By default, the two boxes are empty, but their states will be saved in the user's profile, so next time you enter the interface they will be displayed according to the last use.

In each line of the outer practical subjects the following columns are displayed: Subject name, Interruption type, Number of weeks, Minimum interruption, Max. number of interruptions, Registered as well as a fulfillment indicator column in which there will be a green check if the subject related outer necessary practice period is validly spent as well as if the associated exam is successfully passed.

Register for outer practical subject

You can register for a subject by clicking on the "Register/More" button at the end of the line of the subject.

The "Register/More" button, so the application is active (available) only at subjects which currently have period. If it is active, it is also possible that after pressing it the operation will not be successful due to the conditions imposed by the institution. This will be displayed.

If the registration is successful, the program will display a new pop-up window where the outer field practice locations related to the outer practical subject should be selected.

Selecting outer field practice locations

In the field practice locations pop-up window two lists are displayed one above the other.

The "Registered field practice locations" can be seen in the upper one, while in the lower one those for which you can register, its name is: "Available field practice locations". You can find further operation options at the end of the lines of both lists.

In the lines of the available field practice locations, the names, codes, types of the field practice locations as well as information regarding the registration time period and the number of free places appear. Options at the end of the lines:

- Register - More

In the lines of the registered field practice locations, the names, the planned and accepted intervals information and states of the registration are displayed in the columns. Options at the end of the lines:

- Deregister

- Upload/Download documents

When you register for a field practice location, then after pressing the registration buttonyou must specify a time interval when you wish to participate in the practice in a new pop-up window

After registration, this planned time period with the selected practice location is transferred to the lines of registered field practice locations. The planned and actual practice time intervals are displayed in separate columns at the registered field practice locations. When the administrator accepts the selected time interval, the planned time value is moved to the actual field practice interval column (the administrator may define a different time interval).

You can fulfill your practice in one longer period of time or within several smaller intervals. Thus, you can choose the same field practice location from the lower list several times if you want to register with different time intervals.

At the registered places, by clicking on the "Upload/Download Documents" menu you can view in a pop-up window the print template defined by the institution, as well as here you have the opportunity to upload the practice certificate of acceptance and completion.

The state of each registered outer field practice locations is displayed in the list above.

After registration, the state column includes the "Student planning" state. When you have finished uploading the document the process changes to the "Documentation uploaded" status. If the administrator validates the registration, it will be in "Accepted" state. After this it is no longer possible to deregister from the outer field practice location.

You can also add new practice location to the existing list. This can be done with the "Add practice location"

button at the bottom of the window. Then you must fill in the details of the practice location and the time interval in the pop-up window.
